How FluxxChat handles your data.
Last updated: 5 November 2026
FluxxChat is a product of Fluxx Tech, Coimbatore, Tamil Nadu, India ("FluxxChat", "we", "us"). FluxxChat is a software platform that lets businesses ("Customers") manage WhatsApp Business and Instagram conversations, send campaigns and run automated replies. This policy explains what data we handle and why.
1. Who is responsible for which data
- Account data of our Customers (the business owner and team members who sign up): we are the data controller.
- Messages and contact details of a Customer's own end customers (people who message that business on WhatsApp or Instagram): the Customer decides why and how this data is used, and we process it on the Customer's behalf as a data processor.
2. Data we collect
| Data | Examples |
|---|---|
| Account and business details | Name, email, phone number, business name, address, GSTIN, password (stored hashed) |
| WhatsApp data | WhatsApp Business Account ID, phone number ID, display number, message content, media, delivery and read status, contact phone numbers and profile names |
| Instagram data (when a Customer connects Instagram) | Instagram account ID, username, profile name and picture, direct messages sent to the connected account, comments on the account's posts, and IDs needed to reply |
| Access tokens | Tokens issued by Meta when a Customer connects an account. They are stored encrypted and used only to send and receive messages for that Customer. |
| Billing data | Wallet recharges, invoices and payment references. Card or UPI details are handled by our payment provider and are not stored by us. |
| Technical data | IP address, browser and device type, login times and error logs, used for security and support |
3. How we use data
- To provide the service: show conversations in the team inbox, send and receive messages, run campaigns, chatbots and automated replies.
- To secure the platform, prevent abuse and fix problems.
- To bill Customers and keep tax records.
- To contact Customers about their account and service updates.
4. Who we share data with
- Meta Platforms (WhatsApp and Instagram), because messages are sent and received through their APIs. Meta's own privacy policy applies to its services.
- Service providers such as web hosting, email delivery and payment processing, who process data only to provide their service to us.
- Authorities, when required by law.
We do not sell personal data.
5. Retention
We keep account and messaging data while the account is active. When a Customer asks us to delete data, or an account is closed, we delete it within 30 days, except tax invoices and payment records that Indian law requires us to keep. Backups are overwritten on our regular backup cycle.
6. Your choices and rights
- Customers can view, correct and export their data from the dashboard, and can disconnect WhatsApp or Instagram at any time. Disconnecting removes our access tokens.
- End customers of a business can reply STOP to opt out of marketing messages and should contact that business to access or delete their data. They can also write to us and we will pass the request to the business.
- To remove your data, see Data deletion.
7. Security
We use HTTPS, hashed passwords, encrypted access tokens, role-based access and activity logs. No online service can be completely risk free, so we also ask Customers to use strong passwords and keep their team access up to date.
8. Children
FluxxChat is for businesses and is not directed at children under 18.
9. Changes to this policy
We will post updates on this page and change the date above. If a change is significant we will also notify Customers by email.
